How do I prepare a bid for a machete supply contract?
How do I prepare a bid for a machete supply contract?
A machete tender is usually won or lost before pricing is opened. Bids get rejected for missing paper, not for weak steel.
Evaluators work from a checklist. If a required document is absent, the offer is often set aside without scoring.
This guide lists the documents, the capacity proof, and the way samples and prices should be presented.
Prepare the file once, keep it current, and the next tender becomes a matter of editing rather than starting over.

Which company and factory documents are required?
Start with the legal basics: business licence, tax registration and export licence.
Add an ISO 9001 certificate if you have one. It is not proof of blade quality, but it signals process control.
If you are a trading company, include a manufacturer authorisation letter from the plant.
That letter should name you, name the factory, and state that you may offer their products for this contract.
Include factory registration details and a short company profile with years in business and main markets.
Financial statements for the last two to three years are often requested, as evidence of stability.
Bank reference letters appear in some tenders, especially for larger contracts.
Product liability insurance, if held, belongs in the file.
Certificates of conformity for regulated markets may be required at delivery, so list what you can provide.
Keep every document valid, signed and stamped. An expired certificate can disqualify an otherwise strong bid.
Keep a master folder with every certificate in date order, plus a reminder before expiry.
Use certified copies where the tender asks for them, and keep the originals for inspection.
Translate key documents only if the tender requires it. Unrequested translations add errors.
Check that the company name matches the bank account and the invoice exactly.
Ask a colleague to read the offer against the instruction sheet before submission.
A second reader finds missing pages faster than the person who wrote the file.
Submit early, then confirm receipt in writing. A perfect bid delivered late is still late.
Keep a copy of the submitted file exactly as sent, including the courier receipt.

What proof of capacity and lead time is accepted?
Capacity is not a claim, it is a schedule backed by equipment and staff numbers.
List the machines involved: blanking press, grinding line, heat treatment furnace, handle fitting, packing.
State the monthly output in pieces for the specific model, not for the factory in general.
Show the current order book load, so the buyer can see how your offer fits.
Describe the production sequence with days per stage, from material purchase to packing.
Add the material lead time for steel and handles, because that is often the real constraint.
Include a delivery plan mapped to the contract schedule, with shipping dates and ports.
Explain how you will handle a volume above your normal run, for example a second shift or a partner line.
Name the quality control steps and the person responsible. Buyers notice when nobody is named.
Provide references from similar contracts, with contact details where allowed.

How should samples and the price schedule be submitted?
Samples should match the offer exactly, and carry a label that ties them to the bid.
Label each piece with the tender number, item number, model and your company name.
Include the specification sheet with measured values: length, thickness, weight, hardness.
Send the quantity requested, plus one extra if the rules allow, so the buyer can keep a reference piece.
Pack samples as you would pack bulk goods. Evaluators notice packing quality at this stage.
The price schedule should follow the buyer's format line by line, without restructuring.
State the currency, the Incoterm, the port and the price validity period clearly.
Show unit price and total price, and check the arithmetic twice. Errors are a common disqualifier.
Quote options separately, such as a sheath version, rather than mixing them into the base price.
Sign and stamp every page that requires it, and use the authorised signatory named in the documents.

What disqualifies a bid?
Most rejections come from administrative failures, and they are avoidable.
A late submission is the most common. Build the timeline backwards from the deadline, not forwards.
Missing signatures, missing stamps or an unauthorised signatory end many offers.
An expired bid validity period is fatal, even when the price is right.
A non responsive technical offer is next. A 17 inch blade against an 18 inch requirement is non compliant.
Arithmetic errors between unit price and total price create doubt about the whole offer.
A missing bid security, where required, usually means immediate rejection.
Samples that do not match the offered specification raise a compliance question the evaluator cannot ignore.
No manufacturer authorisation, for a trading company, weakens the offer at the technical stage.
Read the instructions to bidders twice. They contain the rules that decide everything else.
Bid preparation checklist
Work through this list before you submit, and keep a copy of the full file.
Business licence, tax registration and export licence
ISO 9001 or equivalent quality certificate
Manufacturer authorisation letter, if trading
Company profile and main export markets
Financial statements for the last two to three years
Machine list and monthly output per model
Current order load and delivery plan by stage
Material lead times for steel and handles
QC process description and responsible person
Test reports for hardness and finish
Reference contracts with contact details
Labelled samples with measured specification sheet
Price schedule in the buyer's format, checked for arithmetic
Bid security, if required
Signed and stamped pages, authorised signatory
Submission deadline confirmed in local time
The technical work is the easy part. The paperwork decides whether anyone ever reads it.
